About this Policy

This policy covers:

– our brochure website;
– contact and enquiry forms;
– demo bookings;
– emails sent to us;
– user accounts within The Governance Suite platform;
– personal information processed through the platform.

Where a school, trust or other organisation uses The Governance Suite to manage its own governance records, that organisation will usually be the data controller for the information it uploads. In those cases, ComplyEd Ltd acts as a data processor and processes that information on the organisation’s instructions.

Information We Collect

We may collect:

– name;
– role or job title;
– school, trust or organisation name;
– email address;
– phone number;
– enquiry or message details;
– demo booking details;
– account login details;
– platform usage and support information.

Within the app, schools or trusts may upload governance-related records, including board member information, declarations, documents, meeting papers, training records, compliance information, messages and related administrative records.

How We Use Personal Information

We use personal information to:

– respond to enquiries;
– arrange demos or calls;
– provide access to The Governance Suite;
– manage user accounts;
– operate, maintain and improve the platform;
– provide customer support;
– keep the platform secure;

We do not currently send marketing newsletters.

Lawful Bases

We rely on one or more of the following lawful bases:

– contract: to provide The Governance Suite to customers;
– legitimate interests: to respond to enquiries, support users and operate our services;
– legal obligation: where we must keep records or comply with law;
– consent: where we specifically ask for consent, such as optional cookies or marketing.

Hosting and Third Parties

We use trusted service providers to operate the website and platform, including:

– Microsoft Azure, hosted in UK South;
– Hostinger, for the brochure website;
– WordPress and WPForms;
– Microsoft Outlook / Bookings;
– our email provider.

These providers may process personal information on our behalf only where needed to deliver their services.

International Transfers

We aim to use UK-based hosting for the platform where possible. Some third-party providers may process data outside the UK. Where this happens, we rely on appropriate safeguards required by data protection law.

How long we retain your data

We keep personal information only for as long as needed.

Enquiry and contact form information is kept for as long as needed to respond and manage the relationship.

Platform account and customer data is normally kept for the duration of the customer’s paid subscription period. As subscriptions are typically annual, inactive account data may be retained until the relevant payment period has expired, unless a different retention period is agreed with the customer or required by law.

Complaints

You can contact us at admin@thegovernancesuite.com if you have concerns about how we handle personal information.

You also have the right to complain to the Information Commissioner’s Office: https://ico.org.uk/
